How to fill out a timecard?
- The employee's name should be entered:If you are tracking someone's hours or work schedule, add their full name to the Time Card Calculator's name field. Using their full names could avoid confusion if you have multiple employees with the same first name.
- You can add a date range or a specific date: Your next step will be to enter the date. Most companies generally require Time Cards depending on how often employees are paid. These timecards can include the start date of the relevant work week. It is important to fill in the correct date for payroll, tax, and audit purposes. Inaccurate records can lead to legal problems.
- Enter the details of the project and task: When assigned to a project, employers can quickly view tasks and prove to clients the number of billable hours an employee has put in. In addition, you can send a list of completed tasks to your clients, which is useful if your clients calculate billable hours based on completed tasks.
- Work hours are added for each weekday: You can fill out the scheduled hours and leave hours against each day of the week on the employee timecard. There is also a column for every overtime hour worked on a particular day. You can easily identify employee work patterns in this section, for example, if they take off every week or on a particular day.
- Total hours worked: In the total column, you will enter the total work hours. This way, employers can calculate overtime hours and double time for payroll processing based on how much time was worked each day. The total work hours can be calculated automatically using Excel formulas or similar programs.
- If necessary, add notes: Notes are usually located in the upper right corner of most timecards. Here, you can enter information such as overtime rate, the reason for delay, absences, etc. It is possible to mention in the notes section if you were required to miss work for jury duty.
- Get your approval: To approve the completed timesheet, submit it to your supervisor, human resources representative, or designated approver. The filled timecards can be emailed, printed, and handed over in person if you use an electronic timesheet.
